Import dates from a photo, PDF or list

Most runs start life somewhere else: a tour poster, a screenshot of a group chat, a PDF from the booking agent, an email with the dates in it. Instead of typing every date in by hand, you can give that to Tourouter. It reads the dates, cities and venues into a draft, which is a tour that does not exist yet. You check the draft, fix anything it got wrong, and only then create the tour.

What you can import from

• Photos and screenshots: a flyer, a poster on a wall, a screenshot of a message. JPEG, PNG, WebP and HEIC all work.
• PDFs: the itinerary the agent or promoter sent.
• Pasted text: a date list copied out of an email, a note or a spreadsheet column.

You can add up to 10 files at once, 10 MB each, 30 MB in total, and up to 20 PDF pages. You can mix files and pasted text in the same import.

Import on the phone

On the phoneThe Tourouter app on iOS or Android

1. Tap More, then Tours.
2. Tap Import tour. (You can also tap + for a new tour and choose Import an itinerary.)
3. Under Add files, pick where the itinerary is:
   • Photo library for flyers, screenshots and photos
   • Browse files for PDFs and saved images
   • Take a photo to photograph a printed itinerary
4. Or type or paste the dates into Or paste your dates.
5. Tap Read itinerary.
6. Wait while it reads. You can tap Back to Tours and do something else. The import waits for you under Import drafts on the Tours screen.
7. Check the draft (see below), then tap Create Planning tour.

Share a flyer straight from Photos, Files or Mail

On the phone you do not have to open Tourouter first. If the flyer is already in your photos or the PDF is attached to an email, send it to Tourouter from there.

1. Open the photo, PDF or email attachment.
2. Tap the share button and choose Tourouter. You can share up to 10 files at once.
3. Wait for Saved to Tourouter, then open the Tourouter app.
4. Tap More, then Tours, then Shared itineraries.
5. Under Destination team, choose the band the tour is for.
6. Tap Review for your band. The import screen opens with the files already added.
7. Tap Read itinerary.

Shared files wait on your phone for up to 30 days. If you change your mind, tap Remove batch.

Import on the web

On the webapp.tourouter.com in any browser

1. In the sidebar, open All tours.
2. Click Import tour at the top of the page. (It is also at the top of the New tour page.)
3. Add the itinerary under Itinerary files in any of three ways:
   • click to choose files from your computer
   • drag the files onto the form
   • copy an image and paste it straight into the page
4. Click Upload and check files. Each file shows Ready to read when it is done.
5. If you also have dates as text, paste them into Tour dates. This is optional when you have added files.
6. Click Read itinerary.
7. Wait while it reads. It can take a couple of minutes. You can leave the page and come back through All imports.
8. Check the draft (see below), then click Create Planning tour.

Check the draft before you create the tour

The draft is where you catch mistakes, and nothing is written to a tour until you finish it. It opens as Review import on the phone and Review your itinerary on the web.

1. Confirm the year if the draft asks What year is this tour? Enter the year and apply it. If the run crosses New Year, choose whether the later dates continue into the next year.
2. Name the tour. A tour name is required.
3. Go through every date. On the phone, tap a stop to open it and use Previous and Next to move along the run. On the web, click any field in the table to change it. For each date you can fix:
   • the date
   • the day type: Show Day, Travel Day or Day Off
   • the venue, city, state or region, and country
   • the booking status: Planning, Hold or Confirmed
   • notes
4. Add or remove dates with Add date, or remove one from its details.
5. Read any notes from the reader. If it was unsure about something, it says so at the top of the draft. Check those dates against the original.
6. On the phone, you can tap Find venue on a show to attach the venue’s address from Tourouter’s venue list or Google Maps. This is optional and you can add it later.

Not ready to finish? Tap Save draft. On the phone the draft stays under Import drafts on the Tours screen. On the web it stays under Drafts on All tours.

What happens when you create the tour

• The tour is created in Planning. Nothing is sent, nobody is invited and nobody is notified.
• On the phone you land on the new tour’s Dates tab. On the web you land on its route board.
• From there you add the rest: schedules, lodging, contacts and deal terms.

The original files are kept for 30 days so you can check the draft against them. After that they expire, and your draft and your tour stay exactly as they are.

What the import does not do yet

Who can import

Owners, admins and editors on the band can import a tour. Crew and read-only members cannot. Importing is free, like the rest of planning.

When you tap Read itinerary, your files and text are sent to the AI service Tourouter uses to read the itinerary. You review and correct every date before a tour is created.
