Promoter reps, venue staff, drivers, and crew, with one tap to call or text, and sensitive contacts kept to the people who should see them.
Guest lists
Crew request spots, managers approve them, and the count stays current on the day screen.

When someone changes the plan, everyone gets told, and open screens update by themselves.
The morning text
The day sheet also goes out as a text every morning, on the right timezone, to anyone on the list. No account needed to receive it, which is how the driver and the runner stay in the loop.
Somebody has to build all this first.
